A spreadsheet that came up short almost always has one of three causes, and none of them means data is gone from Pipeline.
The File Stops at 1,000 Transactions
Downloads built from a search are capped at 1,000 transactions to keep them fast, so a search that matched more than that comes down trimmed.
To get the rest:
- Split the search into smaller date ranges, each under 1,000 transactions, and download them one at a time.
- Or download the Full Spreadsheet, which has no row limit, and delete what you don't need in your spreadsheet app.
If you're combining several downloads, keep the column choice the same on each so the files line up.
A Year's Spreadsheet Is Missing Deals That Closed That Year
The year spreadsheets are built on when a transaction was added to Pipeline, not when it closed. A deal entered in December and closed in March appears on the earlier year's file, which is why a year spreadsheet and a commission total for the same year rarely match.
To pull transactions by close date instead:
- Click [Transactions] from the top menu.
- Click [Search] to open the search area, then set a Close Date range.
- Click [Search], then click [Download] to take the result out as a spreadsheet.
The result covers exactly the closings you asked for, whichever year each deal was entered.
Outside Agent Details Aren't in the File
Co-op agent columns are filled from people added to a transaction as a Co-op Agent. If your office records outside agents as Contacts instead, those columns come down empty even though the person is on the transaction.
Two things help. For the file in front of you, look in the contact columns, where anyone added as a Contact appears. Going forward, add outside agents both ways on a transaction so they show up wherever you look.
